By the end of this lesson, educators will be equipped to teach learners how to:
- Draft professional workplace messages (emails, chat messages) using AI writing assistants to improve tone, grammar, and clarity.
- Practise common workplace interactions (introductions, team meetings, small talk) through AI conversational simulations.
- Use AI to compare communication styles across cultures and adapt their approach to the local workplace context.
- Handle feedback and misunderstandings constructively using AI-supported role-play scenarios.

🥣 Preparation – Before Implementation
- Prepare 8-10 Workplace Scenario Cards covering: first-day introductions, team meetings, small talk, receiving constructive criticism, resolving a misunderstanding, and asking for help.
- Prepare the “Workplace Navigator” Prompt Guide with tested prompts for: drafting professional emails, simulating workplace conversations, and comparing cultural communication norms.
- Test AI writing assistants (Grammarly, LanguageTool) and conversational LLMs (ChatGPT, Claude) with workplace-related prompts to verify quality of outputs.
- Prepare a brief cultural comparison demo using an LLM prompt such as: “Compare communication styles in [Country A] and [Country B] workplaces regarding giving feedback.”
- Identify 2-3 local workplace norms that may differ significantly from learners’ home country contexts (e.g. directness, punctuality, hierarchy).
🔥 Implementation Steps
Part 1: Professional Communication with AI Writing Assistants (30 minutes)
- (10 min) Introduction: Discuss the importance of tone and clarity in workplace communication. Show examples of the same message written formally and informally – which is appropriate in the local workplace?
- (10 min) Demo: Use an AI writing assistant to improve a poorly written workplace email. Show how to use prompts such as: “Rewrite this email to sound more professional and polite.” Highlight changes in tone, grammar, and structure.
- (10 min) Practice: Learners draft a short workplace message (e.g. requesting a day off, following up on a task) and use an AI writing assistant to refine it. Pairs compare their original and improved versions.
Part 2: Conversational Practice with AI Simulations (30 minutes)
- (10 min) Demo: Set up an AI chatbot as a “workplace colleague” using a prompt such as: “You are a friendly colleague. Help me practise small talk at the start of a team meeting.” Show how the AI responds and how to keep the conversation going.
- (20 min) Learners use Scenario Cards to practise 2-3 workplace interactions with an AI conversational tool: a first-day introduction, a team meeting contribution, and a small-talk exchange. Groups share the most useful phrases they discovered.
Part 3: Cultural Awareness and Adaptation (20 minutes)
- (10 min) Demo: Use an LLM with the prompt: “Compare communication styles in [Learner’s Home Country] and [Local Country] workplaces, specifically regarding giving feedback.” Discuss the AI’s insights and verify with the educator’s knowledge.
- (10 min) Learners choose a scenario involving a potential cultural misunderstanding (e.g. receiving very direct feedback). They use the AI cultural comparison tool to understand the differences and discuss how they would adapt their response.
Part 4: Handling Feedback and Misunderstandings (30 minutes)
- (10 min) Use an AI conversational simulation to practise a scenario where a learner receives constructive criticism from a manager. Focus on active listening and asking clarifying questions.
- (10 min) Use the AI conversational tool to practise a scenario where a misunderstanding occurs (e.g. a missed deadline). Learners practise explaining the situation and finding a solution.
- (10 min) Reflection: What strategies did learners find most effective? How can AI help them prepare for real-life situations? Each learner completes the reflection prompt: “One soft skill I feel more confident about after this lesson is… and I will use AI to…”
🧂 Differentiation & Inclusion
- For lower digital literacy: Provide pre-written prompts for AI tools. Focus on one type of AI tool per session. Pair with more digitally confident learners.
- For lower language levels (B1): Focus on simpler scenarios and basic phrases. Use AI writing assistants primarily for grammar and vocabulary correction. Provide sentence starters for conversational practice.
- For higher language levels (B1+): Encourage more complex scenarios and nuanced communication. Challenge learners to critically evaluate AI-generated responses for cultural appropriateness and refine them further.
- For learners from high-context cultures: Spend additional time on the cultural comparison activity, focusing on differences in directness and hierarchy.

- Data privacy: Emphasise never inputting personal identifying information or sensitive company details into public AI tools. Use anonymised or hypothetical data for all practice activities.
- AI limitations: Stress that AI provides simulations and suggestions, not perfect human interaction. Real-life situations require empathy, intuition, and adaptability that AI cannot fully replicate.
- Authenticity: Encourage learners to use AI as a practice tool, but to develop their own authentic communication style rather than relying solely on AI-generated responses.
- Cultural sensitivity: Avoid presenting any culture as superior or inferior; frame cultural differences as opportunities for mutual understanding and adaptation.
